Editorial Assistant

We are seeking an early-career Editorial Assistant to support a fast-paced, mission-driven program focused on communications with cities, partners, and other external stakeholders. This is a highly execution-focused communications role for someone who is an excellent writer, extremely organized, and comfortable managing a high volume of correspondence and competing priorities. This person will own a shared program inbox, draft and edit professional communications, support meetings and follow-ups, coordinate multilingual content and translations, and assist with newsletters, guides, presentations, and other program materials.

Job Summary
  • Own and manage a high-volume program inbox receiving approximately 120 messages per week, ensuring timely and professional responses
  • Draft responses to external stakeholders and determine when questions should be escalated to senior team members
  • Write and edit internal communications, executive emails, talking points, announcements, newsletters, stakeholder communications, and press release-style content
  • Support standing meetings by helping prepare agendas, taking detailed notes, documenting action items, and tracking follow-ups
  • Coordinate translation workflows for materials in Spanish, French, and Portuguese, including working with translation vendors and tracking deadlines
  • Assist with drafting and formatting a bi-weekly newsletter and other program communications
  • Develop and update written guides, how-to documents, webinar slides, run-of-show documents, and other informational materials
  • Upload and maintain website content to ensure materials remain accurate, organized, and current
  • Assist with basic video editing for short instructional or informational content as needed
  • Work closely with senior communications and program team members while independently managing day-to-day deliverables
Required Qualifications
  • Bachelor's degree required, ideally in Communications, Journalism, English, Public Relations, or a related field
  • Approximately 1–3 years of professional communications experience
  • Excellent professional writing, editing, grammar, and proofreading skills
  • Experience drafting communications such as internal communications, executive emails, talking points, newsletters, announcements, press releases, or stakeholder-facing materials
  • Strong organizational skills with experience managing multiple deadlines, follow-ups, and competing priorities
  • Comfortable managing a shared or high-volume inbox and communicating directly with external stakeholders
  • Experience supporting meetings through agendas, note-taking, action items, and follow-through
  • Able to work independently, exercise good judgment, and recognize when an issue should be escalated
  • Professional writing samples are required
  • Must be able to work onsite in Baltimore, MD on Wednesdays and Thursdays
Preferred Qualifications
  • Experience in nonprofit, higher education, city/local government, or another mission-driven environment
  • Background in internal, executive, or stakeholder communications rather than traditional marketing
  • Proficiency in Spanish, French, or Portuguese
  • Basic video editing experience, such as iMovie or similar software
